PowerPoint - Checking Spellings

Checking Spellings

PowerPoint application also comes with a proofing tool which automatically checks for spellings and also correct grammatical errors and mistakes with suggested options in your presentation slides.

  • CHECKING SPELLINGS IN THE ENTIRE PRESENTATION
  • Step 1 - Click on the Review tab.
    Go to the Proofing group and click on the Spelling command. (This will open the Spellings pane at the right side of your PowerPoint windows)

  • Other alternative methods from opening the Spellings pane are:
  • Step 1 (Status Bar) - Go to the status bar and click on the book icon with a an X symbol on its bottom right edge, as shown in the image below

  • Step 1 (Keyboard Shortcut) - Press F7 on your keyboard.
  • Now after opening your spellings pane, what next?
  • Step 2 - In the Spelling pane, the incorrectly spelt text will be at the top, followed by three buttons.

    Ignore Once - This is used to ignore the current instance of that error and remove the underlining
    Ignore All - This is used to ignore all occurrences of the error and remove their underlining.
    Add - This is used to add the word to your PowerPoint dictionary.
  • Step 3 - Next are the list of suggested word we can use to replace the error. Select the correct word from the list of suggestions.
    Below the suggestion list, we have two buttons.
    Change - This is used to change the current instance of that error and remove the underlining by replacing it with the selected word suggestion above
    Change All - This is used to change all occurrences of the error and remove their underlining by replacing it with the selected word suggestion above.

  • Step 4 - To read out the selected suggestion, you can click on the speaker icon beside the word just below after the change and change all buttons as shown in the image below.

  • Step 5 - After you are done, correcting all the errors in your presentation using the Spelling pane, a dialog box will be displayed telling you that your spell check is completed.

  • CHECKING SPELLINGS FOR A SINGLE ERROR
  • Step 1 - Right click on the underlined error.
    Different spelling suggestions will display, together with the Ignore All and Add to Dictionary options.

  • Step 2 - Click the suggested word you want to replace the error with and it will be replaced. OR you can click on ignore option to ignore the error and the underlining will be removed.

NOTE:

To confirm that your entire presentation is error free, you can check the status bar again and you will notice that the book icon with an X symbol on its bottom right edge, is changed to a symbol on it.
