How To Set Editing and Formatting Restrictions

Sometimes when we have only one copy of an important Ms-word document in our computer system, and someone read it, we are often afraid that they might mistakenly edit the document.
In this tutorial, I am going to be showing you how you can make your document in such a way that it can only by read by all but can only be edited by few persons.

  • HOW TO SET EDITING AND FORMATTING RESTRICTIONS
  • Step 1 - Open the document that you want to set editing and formatting restriction.
  • Step 2 - Click on the File tab, then at the left side of the home page being displayed, click on the Info option.

  • Step 3 - Click on the Protect Document button option and this will display and dropdown list. From the dropdown list, click on the Restrict Editing option.

  • Step 4 - Ms-word will open the Restrict Editing pane at the right side of the windows document.
    Mark (click the checkbox) of the Formatting and Editing restrictions, the click Yes, Start Enforcing Protection.

  • Step 5 - A dialog will then display with two options for you to choose. The first option tells you that if the document is not password protected, that you should type in password the restrict editing.
    The second option tells you that if you the document is already password protected, still add the editing restriction to it.
    The bottom line is anybody you give password for this document can edit it, and anybody without password cannot edit the document. (I'm going to be clicking on the first option and add password)

  • Step 6 - Editing and formatting of document is now activated. You can close the pane by the right window. Then try editing the document, you will notice you can't do anything not even to delete a text. All editing and formatting toolbars or tabs have been disabled.

    TIP:

    When restricting document, you can also make exceptions for some parts of the document. You can add or make everybody be able to edit a particular place or portion in the document. This is also done from the Restrict Editing pane.

  • HOW TO REMOVE RESTRICTION IN DOCUMENT TO ENABLE EDITTING AND FORMATTING.
  • Step 1 - Open the document restricted document.
  • Step 2 - Click on the File tab, then at the left side of the home page being displayed, click on the Info option.

  • Step 3 - Click on the Protect Document button option and this will display and dropdown list. From the dropdown list, click on the Restrict Editing option.

  • Step 4 - Ms-word will take you to the Restrict Editing pane. At the bottom, click on the Stop Protection button. A dialog box will be displayed for you to enter password.

  • Step 5 - After typing the password and clicking Okay, the document will now be unprotected. Close the windows pane at the right. You can now edit and format the document.

  • Also notice that the tabs that where disabled is now enabled.
