Checking Spellings

MS Word provides you with the means to be able to check spellings and also correct grammatical errors and mistakes. Grammatical errors and mistakes are usually underlined in blue, red or green.

NOTE:

Red line - means it's a spelling error
Green line - means it's a grammatical error
Blue line - means the word or sentence is misused in that sentence, line or paragraph.


  • CHECKING SPELLINGS FOR THE ENTIRE DOCUMENT
  • Step 1 - Click on the Review tab.
    Go to the Proofing group and click on the Spelling and Grammar command option. (This will open a Proofing pane on the right side of your ms-word document window)

  • Step 2 - On the proofing pane, Ms-word will show you the spelling or grammatical error underlined in red, green or blue.
    Below it, you will see possible suggestions to correct the spelling or grammar.

  • Step 3 - Click on any correct option and it will automatically correct that word or sentence.

There is are other options when you click on the arrow down button at the right side of the suggestions.

  • Read Aloud - This option when clicked on, reads out the suggestion
  • Spell Out - This option when clicked on, spells out the suggestion
  • Change All - This option when clicked on, changes all occurrences of that error in your document.
  • Spell Out - This option when clicked on, spells out the suggestion
  • Add to AutoCorrect - This option when clicked on, add that suggestion to auto correct that error any time you mistakenly type that same error.
  • AutoCorrect Options - This option when clicked on, brings out a dialog box for other AutoCorrect options.

Beneath the suggestions you also have the following options.

  • Ignore Once - This is used to ignore the error and remove the underlining.
  • Ignore All - This is used to ignore all occurrences of the error and remove their underlining.
  • Add to Dictionary - This option is used to add the word to your ms-word dictionary.

  • Step - Right click on the underlined error.
    Different spelling suggestions will display, together with the Ignore once, Ignore All, Add to Dictionary, Add to Auto-Correct options.
