Copy, Paste and Cut

COPY

Copying is a making a duplicate of the selected data.

  • Step 1 - Select the data that you want copy.

    THERE ARE SEVERAL WAYS TO COPY, CHOOSE ANY OF THE STEP 2 OPTIONS YOU PREFER.
  • Step 2 - Right click on the selected text, and click on the Copy option from the dropdown list options.

  • Step 2 (Using Group command) - Click on the Home tab.
    In the Clipboard group, click on the Copy icon option. From the dropdown list click on the Copy command.

  • Step 2 (Keyboard Shortcut) - Press Ctrl + C on your keyboard.

PASTE

Paste is placing a copied or cut data in another position in the worksheet.

  • Step 1 - Click on the cell position that you want to paste the copied or cut data.

    THERE ARE SEVERAL WAYS TO PASTE, CHOOSE ANY OF THE STEP 2 OPTIONS YOU PREFER.
  • Step 2 - Right click on this position, and click on the any of the Paste Options in the paste section, from the dropdown list of options displayed

    There are numerous paste options in excel such as the Paste, Values, Formulas, Transpose, Formatting and Paste Link.

    To use the special paste option, first select and copy a data or cell. Right click on cell position you want to paste it. A dropdown list will be displayed.
    Move the mouse pointer over the option Paste Special and another sub list with three sections will be displayed. Paste, Values and Other Paste Options. After the Other paste options click on the Paste Special option.

    The Paste Special dialog box will be displayed.

    S/N PASTE OPTIONS
    1.

    ALL

    This option will paste the data, its format, and the data validation from the clipboard.

    2.

    FORMULAS

    This option will paste the formulas only with no formatting.

    3.

    VALUES

    This option will paste the values only without the formulas.

    4.

    FORMATS

    The formats paste option will paste only the formatting of the data source.

    5.

    COMMENTS

    This option pastes the comments with its cell.

    6.

    VALIDATION

    The validation special paste option will paste any validation that is applied to the cell or data that is copied.

    7.

    ALLOW SOURCE THEMES

    This option pastes both the formatting and the formulas if any.

    8.

    ALL EXCEPT BORDERS

    This option pastes everything except the borders.

    9.

    COLUMN WIDTHS

    This option pastes the formula and also make a duplicate of the data column width.

    10.

    FORMULAS AND NUMBER FORMATS

    This option pastes only the formulas and number formatting of the copied data.

    11.

    VALUES AND NUMBER FORMATS

    This option pastes the result of the formulas and number formatting.

    12.

    MERGE AND CONDITIONAL FORMATTING

    This paste option appears only when the copied cell contains conditional formatting. When you click on it, it will merge the copied conditional formatting with any conditional formatting in that destination.

    13.

    TRANSPOSE

    This paste option changes the direction of the copied data, whereby the rows become columns, and columns become rows.

    14.

    KEEP SOURCE FORMATTING

    This paste option will paste the copied data in the format it was copied.

    15.

    PICTURE

    This paste option will paste the copied data as a picture.

    16.

    PASTE LINK

    The paste link option is the copying of the data from one workbook sheet to another linking each of them together.


  • Step 2 (Using Group command) - Click on the Home tab.
    In the Clipboard group, click on the Paste command and click on any of the paste options to paste your copied or cut data.

  • Step 2 (Keyboard Shortcut) - Press Ctrl + V on your keyboard.
  • Step 3 - Data successfully pasted!

NOTE:

To view the data or item you copied before pasting, click on the Home tab, go to the Clipboard group and click on the dialog box launcher icon to display the clipboard pane. This will show you the copied data. You can delete or select any data here also.

CUT

Cut is removing the selected data from its original position in the worksheet.

  • Step 1 - Select range of data that you want to cut.

  • Step 2 - Right click on the selected text, and click on the Cut option from the dropdown list of options.

  • Step 2 (Using Group command) - Click on the Home tab.
    In the Clipboard group, click on the Cut command (scissors icon).

  • Step 2 (Keyboard Shortcut) - Press Ctrl + X on your keyboard.
  • Step 3 - Data successfully cut and ready for pasting.

NOTE:

In Excel if you copy or cut data, there is always a matching ants around the cell of the data you copied or cut.
