Share WorkBook

In this tutorial I will be showing you how to share workbook in excel so that other people can read it or edit it if need be. Kindly follow the steps below to learn this.

  • Step 1 - To share any workbook, open the workbook, open any of the worksheet and click on the Share button at the right side of the menu tab.

  • Step 2 - This will open the Share Pane at the right side of the worksheet window. Inside the share pane, you will message which tells you to save your worksheet to your cloud before you can share. Simply click the Save to Cloud button.

  • Step (Alternative) - An alternative way also, click on the File Tab which will open the home page. In the first column, click on the Share option and the share page will be opened. In the share page, click on Share with People on the second column and proceed to click on Save to Cloud in third column.

    NOTE:

    You can also share worksheet using the email option, by selecting the email and the email options you want to use as shown in the image below.

  • Step 3 - The save as page will be displayed. Click on your OneDrive - Personal account on the second column and click again on the OneDrive - Personal on the third column in that page.

  • Step 4 - Excel will now open your file explorer so that you can save your worksheet to your cloud.

    TIP:

    Saving files to cloud lets you to be able to access them anytime and any day online given that you have internet connection. It also makes it easy to share with other people.

  • Step 5 - Workbook has been successfully saved to cloud, so now we can now share the workbook following the next steps.

  • Step 6 (a) - Now click on the share button again, the share pane will open at the right side on the window. Note this will require internet connection. It might take a few seconds or more depending on your network signal

  • Step 6 (b) - Inside the share pane, you will have to enter the following details to share the workbook. Type in the email address or contact, choose whether the user can edit the workbook or just view only and include a message if you want. Also, if you have an address book on your computer, simply click on the icon beside the invite people input field to search address book for contacts.
    Remember you account will always be visible (in my own case it is Daniel Uchenna)

  • Step 7 - Once the share information has been entered, before click on the Share button choose which option you want to share automatically when changes are made.
    After that, you can click on the share button to share workbook.

    NOTE:

    In share pane above, if you want to get the share link, simply click on the Get a share link text at the bottom of the share pane. This will open where you can Create Edit Link and Create View Only Link.

  • Step 8 - The person user will be successfully added below you account name as shown in the image below.

  • Step 9 - Now if the person you share the workbook should receive it instantly. In my own case, I share it to my second Gmail account, and this is what the email should look like in the image below.

  • Step 10 - When you open the message it looks like this

  • Step 11 - Now inside the message, you can click on the Open button below the Excel Book file.

  • Step 12 - The workbook will be opened online on your browser.

NOTE:

Even if you have edit access on a shared excel workbook, you will have to sign in before you can edit it, else it will be showing you view-only.
