How To Set Editing and Formatting Restrictions

Most times when we create a document that people need to go through and give their feedback, it is good we set editing and formatting restrictions in order for people not to mistakenly or purposely edit or format our document.
In this tutorial, I will be showing you step-by-step how to restrict editing and formatting in your excel worksheet.

  • SETTING EDITING AND FORMATTING RESTRICTIONS
  • Step 1 - Open the worksheet that you want to set editing and formatting restriction for. In my own case, I will be using the document below for this tutorial. You can use any excel document for this practice.

    NOTE:

    You can always use your own simple excel worksheet and an existing worksheet for practice like this so as to immediately follow up and speed up learning process.

  • Step 2 - Click on the File which will open the home window. In the home window, click the Info option to open the info page section as shown in the image below.

  • Step 3 - Click on the Protect Workbook option. From the list options displayed click Protect Current Sheet

  • Step 4 - The Protect Sheet dialog box will be displayed.

  • Step 5 - Now, in this dialog box, type in your password and mark the actions that users can perform (in this case we want users to only select locked and unlocked cell only). Then click the OK button.

  • Step 6 - Next, the confirm password dialog box will be displayed. Type in your password again to confirm, taking note that if you forget the password, it can't be recovered. Then click the OK button.

  • Step 7 - Now, if you try editing or formatting the worksheet, a dialog box will display telling you that the cell you are trying to edit is protected and the only way to edit or format it is to unprotect the sheet.

TIP:

Always make sure the passwords you are using to protect your worksheet is know by you and someone else in case you forget. Or as advised you can write or keep the password some place safe in your computer system or other places in your house.

  • REMOVING EDITING AND FORMATTING RESTRICTIONS
  • Step 1 - Open the worksheet that you want to remove its editing and formatting restrictions.

  • Step 2 - Click on the File which will open the home window. In the home window, click the Info option to open the info page section as shown in the image below.

    NOTE:

    To jump Step 3, simply click on the Unprotect link at the bottom right corner of the Protect Workbook tile option.

  • Step 3 - Click on the Protect Workbook option. From the list of options displayed click Protect Current Sheet.

  • Step 4 - Now the Unprotect dialog box will be displayed. Type in your password and click on the OK button.

  • Step 5 - The worksheet will now be unprotected and its editing and formatting restrictions removed. You can try editing the worksheet data and see.
